Document Routing (Coming Soon)

Route documents through an ordered chain of reviewers before they are filed. Send a quote, contract, or work order through a review pipeline where each approver signs off in sequence, then the document is automatically released.

When to use this

  • Your office requires manager or supervisor sign-off before a customer-facing document is finalized.
  • You want an auditable trail of who reviewed and approved each document.
  • Documents need to pass through multiple team members in a specific order before filing.

Before you start

  • Confirm the plugin is included in your plan.
  • Open Settings → Features and make sure Document Routing is enabled.
  • The Team plugin must be available — routing steps assign reviewers from your team roster.

Planned workflow

When the active Document Routing workspace is available, the workflow is expected to work like this:

  1. Create a routing slip — give it a title, link the originating document (for example, a quote), and define the ordered review steps. Each step specifies the team member who must act and their position in the chain.
  2. Route for review — the slip enters the In Review status. Each assigned reviewer receives the slip in their inbox.
  3. Reviewer acts — when it is their turn, the reviewer marks the step as Reviewed. The slip then moves to the next step in the chain, or is Released if all steps are complete.
  4. Hold and resume — a routing slip can be put On Hold at any time and resumed later. When resumed, the slip returns to its previous review step.
  5. Released — once every reviewer has signed off, the routing slip is marked Released and the document is considered approved for filing or delivery.

TIP

Since this plugin is still in public preview, the exact UI steps may change before general availability. Use the planned workflow above as a rollout guide until your account has the active routing workspace.

Tips

  • Define review steps in the order approvals must happen — the chain runs sequentially, not in parallel.
  • Keep routing slips short when possible. A two-step slip (technician review, then manager approval) is faster than a five-step chain.
  • Use the Inbox to see which routing slips are waiting for your action.
  • If a routing slip needs to pause — for example, waiting on a customer response — put it On Hold rather than letting it sit idle in a reviewer's queue.

Troubleshooting

I only see a coming-soon screen

That is expected today. Accounts without the active routing workspace will show a Coming Soon placeholder, so use this guide for rollout planning until Document Routing is released for your account.

A routing slip will not start

Make sure the slip has a title and at least one review step. ToolbagCRM rejects blank titles and slips with no steps, because every route needs a named document and at least one assigned reviewer before review can begin.

A reviewer cannot act on a step

Confirm the slip is still In Review, the step is Pending, and the reviewer is the assigned team member for the current step order. A later reviewer cannot act early, and a held, released, cancelled, or already-reviewed step will not accept another action.

A held slip is missing from the inbox

Held slips are paused and do not appear as active inbox work. Resume the slip when the document is ready for review again; it returns to In Review at the same current step.

Sent back does not return to the expected reviewer

Send-back actions must target an earlier step. If no target is chosen, the route returns to step 1; if a specific earlier step is chosen, steps from that point forward reopen for review.
